You will develop in the trenches expertise and gain experience across a wide array of agency disciplines – presentations, formative research, data base management, community relations, event planning and management, creation and execution of marketing / communication plans, performance based analytics and tracking, media planning and execution, team building, client relationships, and creative team interaction and support.
Success in new business promotion requires account team leaders to run newly acquired business. This job is designed for you learn, succeed and advance, ultimately moving into an account leadership role. And, doing so with unprecedented experience, skills and confidence — not only in how you lead accounts but in your contribution to the Idea Ranch culture, values and purpose.
This is not an entry level position. Two to five years of advertising, marketing, or account management experience (advertising agency background preferred) are required to make an immediate and confident contribution to the promotion and growth of Idea Ranch.
SUCCESS INGREDIENTS
- Read and absorb the Idea Ranch values and purpose. If anything about this strikes you as lame, old fashioned or kool-aid, we’re not for you.
- You must be a self starter. Ad agencies sell time for a living and you’ll be working with some of the busiest people at IDR. The direction will be clear. Objectives, timetables, expectations, budgets — all clearly laid out. Anything less is setting you up for failure. But, the grit and determination to get it done, make it happen and keep moving forward — you bring that with you.
- You must be skilled in Microsoft Word, Excel and Powerpoint – with advancing skills in Pages, Keynote and collaboration decks. Because this is a Swiss Army knife position, you will be given training with in LinkedIn performance analytics, Google Looker Studio, basic digital media planning, buying and management, basic formative and first party research methodology, production, and website performance analytics. If you love to learn, this job is for you.
- You must be a confident communicator. This job will require you pulling people together, often people above you on the org chart. You must be bold, consistent and concise.

KEY ROLES.
- CRM Management, prospect research and outreach.
- Ideate and manage agency promotion workflows.
- RFP & Proposal Management: As a key member of the pitch team, oversee the proposal process, including opportunity research, assessing requirements, and managing team assignments.
- Become a specialist in our lead funnel, from web visitor to client and everything in between.
- Facilitate communication with leads by business development team.

No, you don’t have a ton of experience, but an obsession for accuracy, phobia of typos, relentless follow-up and project management skills make you invaluable to your team.
WHAT YOU’LL DO.
- Serve as the liaison between internal teams (creative, media, production, strategy, analytics, ops, social, public relations) and external clients.
- Prepare for and attend client meetings and presentations, creating and updating status reports, meeting agendas, meeting reports, and other project documentation.
- Communicate concisely and clearly to clients in note-taking, emails, slides, and proofing of client presentations. And always, always close the loop.
- Anticipate client needs, bringing them proactive ideas, initiatives and solutions to meet their business needs.
- Coordinate and manage end-to-end project execution, including print, digital, web, social media, video, analytics, and research. You’ll own, maintain and report on project status for every project/account assigned, maintaining regular communication with the team on status of deliverables and work in-progress. Missing deadlines is not an option.
- Develop and manage project budgets, timelines, and scopes, ensuring all stakeholders are aligned. Track key decisions that impact project budget, scope, and/or timelines, and contribute to new scopes, change orders, and estimates as needed
- Proofread marketing materials for accuracy and brand consistency before client review.
- Organize and maintain project files and shared environments for easy team collaboration.
- Traffic print and digital ad executions to the proper media outlet and coordinate shipping of creative materials as needed.
- Manage multiple small-scale projects independently while assisting senior account service members with larger initiatives.
- Contribute to ideation, research, and competitive analysis, offering valuable input on creative and strategic projects.
- Assist with and prepare various performance reports
- Shadow production to learn the trade hands-on including shoot prep, pre-production, casting, editing, and overall creative production process.
- Contribute to the development and presentation of new business pitches/projects as needed
SKILLS AND KNOWLEDGE
- Bachelor’s degree, in Marketing or Advertising preferred
- 1-4 years of experience in project management, preferably within an advertising agency.
- Proficient in MS and IOS office software, particularly in creating and updating presentations via Keynote or Power Point
- Understanding of marketing plan components, including objectives, strategy, and common media channels.
- Basic knowledge of market research, demographics, and analytics reporting.
- Strong project management skills, with the ability to multitask and manage time effectively.
- Financial acumen to manage project budgets and forecast resource allocation.
- Familiarity with production processes in print, video, and digital
- Proven communication and collaboration skills, both written and verbal.
- Solution-oriented mindset, particularly in challenging scenarios.
- Flexibility and adaptability to navigate change and innovation in a dynamic work environment.

The hub of the agency, the Ops Project Coordinator manages the flow of creative work within our walls, ensuring timely and budget-compliant delivery of client projects. You’ll be responsible for facilitating communication between departments, tracking project progress, managing resources, and ensuring that projects meet client expectations. Top-notch organizational skills, a heart for service, and the ability to multitask across various projects simultaneously is a must. Entry level applicants encouraged.
WHAT YOU’LL DO…
- Facilitate smooth workflow across the agency and maintain strong interdepartmental relationships.
- Create project schedules, set deadlines, and ensure projects are completed within client timelines and within budget. Ensure all project objectives and deliverables are clearly documented, approved, and delivered per clients’ expectations.
- Work collaboratively to allocate and manage resources, including any freelancing or vendor needs. Assess requirements and make judgements regarding necessary workload reassignment and deadline negotiations with the account managers.
- Collaborate with vendors to ensure timely and accurate delivery and invoicing.
- Effectively and impartially navigate teams with conflicting priorities
- Schedule and attend project kickoffs, reviews, and brainstorming sessions.
- Manage project budgets, including ongoing updates to the team.
- Track key decisions and prioritization that impact project budget, cadence, scope, and/or timelines
- Lead the digital asset upload process, manage digital asset systems and creative file storage
